Ski courses - Snow conditions and alternative locations
Courses are arranged in areas with the best snow conditions however if there is too little snow to hold a proper course, we will move the course to an alternate nearby location, likely with man-made snow. If there is no snow at the alternate locations, we will postpone the course to the same time and place likely 1-2 weeks in the future or you will have the option to change courses. For private lessons, alternative time and locations can be arranged with your instructor.
Extreme weather conditions
Course will proceed at temperatures down to -20 degrees Celsius, our cold limit. We recommend additional cold weather gear such as extra layers, heavier jackets, mittens instead of gloves and ski boot covers/wool socks on the outside of your boot once the temperature reaches -10 degrees Celsius. Courses will be rescheduled 24 hours in advance if the temperature reaches -21 degrees Celsius at the course venue. Courses will proceed in sleet or snow conditions. We recommend waterproof outer layers and a change of clothes for activities in wet weather conditions.
Change of course
Private and group courses are paid upfront via online booking Rescheduling of courses is depending upon availability and must be requested by email 10-days before the course date. Please include your full name, the date and time of your booking and when you would like to switch. We cannot guarantee you will have the same instructor upon rescheduling. Bookings are binding and non-refundable.
Corporate group courses are paid in advance of the course via invoice. Companies that wish to postpone their agreed group course can do so 14-days before the start of the course. The invoice due date will not be adjusted to the new course date. Invoices not paid by the deadline are not reserved and will be released without notification. We cannot guarantee you will have the same instructor upon rescheduling. Bookings are binding and non-refundable.
Course levels
We reserve the right to combine group courses with too few participants. Courses will only be combined for levels “Beginner/New Skier” or “Beginner/Intermediate'' where we can ensure the quality will not be compromised. These course programs are the same and each participant will receive individual feedback and adapted pace of each exercise.
Number of participants
In a group course, the maximum number of participants in each course group is 10 per instructor and a minimum of 4 participants. In the few cases where there are 3 or fewer participants, we find a new course for you or you will be offered a private lesson to ensure you receive a lesson of equal or greater value.
Equipment
Ski course participants are responsible for providing their own equipment unless otherwise agreed. Cross-country skiers must also come with prepared skis (waxed) and Alpine skiers must provide their own lift passes. Nordic walking participants must have poles and spikes (when icy) unless otherwise arranged with the instructor. All skiers and winter participants must come dressed appropriately as there will be some standing while instruction takes place. If it is colder than -10 degrees, we recommend mittens, covered ears, neck warmers and boot covers. More information about equipment and rentals can be found HERE. In case of illness/Covid-19
If you are ill and unable to participate in a scheduled private session or group course (evening, day, weekend), please send us the sick note from your doctor and we will reschedule upon availability and instructor/coach. In cases of less than 24-hour notice, cancellation will result in the loss of the booking. Bookings are binding, non-refundable and we do not accommodate mixing group courses due to illness. For online coaching sessions; Client's tardiness beyond 15 minutes counts as a missed call.
Injury or damage
XP Coaching & Consulting AS is not responsible for any equipment damage that occurs during our courses. Participants are responsible for informing their instructors or administrators of any health issues or injuries they have. XP Coaching nor their instructors or partners are responsible for any injury or damage obtained during our courses or activities.
Location and timing
Participants are responsible for finding directions to the course locations and meeting points, as well as the reserve arenas, provided upon booking. You will be informed of any changes 24-hours before the course. Please arrive 10 minutes prior to the start time to ensure a prompt start. Private and group courses start at the given time. Tardiness will result in a shorter lesson (private lessons) or the participant will need to find the group. The instructor will not be responsible for participants that arrive late. If you are unfamiliar with the area, please contact us at least 24-hours prior as we will likely be on the course with other groups before the meeting time on the day of the lesson. Wellbeing coaching occurs online and Client's tardiness beyond 15 minutes counts as a lost session.
Gift card
Gift certificates are valid for one year and can be used for all courses and activities provided by XP Coaching. In the case where you would like to use a gift certificate during a winter where the snow was uncertain, we will extend the gift card through the following season. Please notify us of this before the date of expiration. If courses are consistently happening, the gift certificate will not be extended to the following season unless there are extenuating circumstances.
Packages and Subscriptions
Packages are booked and paid for online unless otherwise agreed and are valid for the terms outlined in the specific package, normally seasonal or for a specific period of months. Subscriptions are ongoing until canceled. You will receive a code for bookings based on your subscription. If you have rolled over time on your subscription, this code will become invalid upon cancellation. Please notify us before canceling so we can adjust this to accommodate the period of validation.
Wellbeing Coaching Fees/Invoicing
One-time sessions, packages and subscriptions are booked and paid for online unless otherwise agreed. Purchased packages are non-refundable. Payment terms: 14 days for package and monthly sessions and there are no refunds except if Coach can't complete sessions. International bank fees invoiced will incur an admin fee of €50 / NOK 500. Paused coaching invalidates remaining sessions after 6 months.
”Hit-the-Road” Trip’s
1. Cancellations
a. XP Coaching reserves the right to cancel trips due to unforeseen circumstances. Including natural disasters (floods, fire, earthquake, etc.), global pandemic, political unrest, or other circumstances that make travel dangerous or impossible to the planned region.
b. No refunds will be given for cancellations or adjustments due to unforeseen circumstances. These events include: severe weather, political unrest, health pandemics, airline/transportation strikes, etc.
c. Cancellation due to inadequate sign-ups/under-booked trip. In this instance the options will be given to make it a private trip for an additional cost, apply credit to another trip, or refunded.
2. Trip Alterations
a. XP Coaching reserves the right to amend or alter the trip itinerary due to unforeseen circumstances. These events include: severe weather, political unrest, health pandemics, airline/transportation strikes, etc.
b. XP Coaching holds no responsibility and bears no financial burden for personal trip alterations. These may include altering individual plans to return early due to unforeseen circumstances including health concerns or illness/injury.
3. Injury/illness
a. XP Coaching does not provide travel insurance or travel health insurance. We do recommend that you purchase coverage for our trips through a recommended provider.
b. XP Coaching does not bear responsibility for medical costs incurred while traveling to/from or during our trips. This may include transport to/from medical centers, etc.
4. Trip Cancellation
a. A $300 non-refundable deposit is required to reserve your spot on any trip. If the trip is paid in full initially, no additional deposit is required. Deposit amount will be credited when the trip is paid for in full. Trip must be paid for in full within 120 days prior to trip start date.
b. Cancellation request must be made via email
c. Cancellation and refunds
i. Prior to 100 days before the trip. If the trip is paid in full, a refund will be given minus 10% administrative fee.
ii. 100-61 days prior to the trip, a 50% refund will be given.
iii. 60 days prior to the trip, no refunds will be given.
